We are seeking an Executive Assistant with specific experience in healthcare litigation to join a prestigious law firm's Litigation Practice Group in Dublin. This role is ideal for a professional who possesses a strong work ethic, business acumen, and a commitment to excellence in the legal sector.

Key Responsibilities:

  • Provide comprehensive administrative and secretarial support to partners and senior associates within the Litigation Department.
  • Manage the billing process, including time entry, invoicing, and follow-up on outstanding payments.
  • Coordinate with the finance department for client account management and transaction-related payments.
  • Oversee AML requirements for client on-boarding, ensuring all procedures are meticulously followed.
  • Handle client auditing requests.
  • Maintain and organise both physical and electronic files for easy access and up-to-date records.
  • Coordinate communication with clients and stakeholders.
  • Arrange meetings, conference calls, and travel itineraries.
  • Prepare, proofread, and format a variety of legal documents, including agreements, pleadings, and correspondence.
  • Support other administrative tasks as required.

Skills, Knowledge, and Expertise:

  • Essential experience in managing healthcare litigation, along with medical negligence, personal injury, and product liability cases.
  • Proficiency in AML procedures and document management systems.
  • Familiarity with Elite 3E and other legal practice management software.
  • Strong organizational skills with a keen eye for detail and the ability to handle multiple tasks under tight deadlines.
  • Proficiency in Microsoft 365 Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Adaptability to meet business needs.
