A law firm based in Dublin is seeking to hire a float secretary to provide cover for the firm’s receptionists and legal secretaries and provide general office support as required.
Key responsibilities of the float secretary:
- Provide excellent front line service to clients
- Answer phone calls promptly and transfer to the appropriate person and take accurate messages and relay them promptly
- Set up conference calls
- Keep reception desk and visitor area tidy & welcoming and monitor visitor access
- Provide cover to manage electronic diary for meeting rooms
- Efficient running and upkeep of the conference room area
- Provide cover for secretarial absences within the firm, additionally to take overflow secretarial work arising within the office and to assist others when the circumstances arise
- Produce high quality documentation (letters, faxes, memoranda, reports, legal documentation, agreements, presentations, minutes, bills, narratives etc) from dictation generated on BigHand (digital dictation system) and from hand written drafts as required
- Save and store documents electronically as per agreed procedures
- Accurately file papers including email correspondence relating to transactions
As the float secretary you will have completed a legal secretarial course and have an interest in pursuing a career as a legal secretary. You will have a pleasant & professional telephone manner, work effectively as part of a team, have a flexible ‘can do’ attitude. Previous experience working as a receptionist managing a busy computerised telephone system beneficial. You will have fast accurate typing skills and excellent communication skills.
