An exciting opportunity has arisen for a highly organised and dependable Executive Assistant to join a global organisation with a growing presence in Dublin. This role is perfect for someone who is available immediately and thrives in a collaborative, multicultural environment and enjoys providing high-level administrative support to executive leadership.

What you'll do:

As Executive Assistant, you will play a key role in ensuring the smooth operation of the office by managing complex diaries, coordinating international travel, supporting governance activities, and assisting with event planning.

You will:

  • Maintain and coordinate multiple executive calendars across various time zones, ensuring efficient scheduling and prompt resolution of any conflicts that may arise.
  • Arrange comprehensive domestic and international travel itineraries including flights, accommodation, ground transportation, and visa requirements for senior leaders.
  • Prepare and submit detailed expense reports as well as credit card reconciliations accurately and within set deadlines using established systems such as Concur or similar platforms.
  • Manage the company’s board portal by uploading meeting materials and documents for directors while ensuring all information is meticulously organised and accessible.
  • Assist with the preparation and timely distribution of board packs to ensure directors have all necessary documentation ahead of meetings.
  • Provide backup coverage for the reception desk by greeting visitors warmly and managing front-of-house responsibilities as needed.
  • Deliver general administrative support across the office to facilitate seamless daily

What you bring:

To excel as an Executive Assistant in this role, you will bring:

  • Previous experience as an Executive Assistant within a multinational organisation where you have managed complex calendars and coordinated extensive travel arrangements.
  • Exceptional organisational skills enabling you to prioritise tasks effectively while managing multiple deadlines without compromising quality or accuracy.
  • Proficiency in Google Workspace applications including Gmail, Calendar, Drive, Docs, Sheets
  • Meticulous attention to detail ensuring high standards in data entry, document preparation, scheduling activities, and overall administrative output.
