Responsibilities of the Accounts Payable Administrator Job include:

As an Accounts Payable Administrator, your primary responsibility will be managing all aspects of Aviation Accounts Payable. You will play a crucial role in maintaining the vendor database, validating invoices, updating payment systems, and ensuring timely resolution of queries and discrepancies. Your keen attention to detail will be instrumental in ensuring all invoices are billed correctly, validated, approved, and paid within appropriate timeframes. Working closely with the team lead, you will have the opportunity to contribute to process improvements within the Accounts Payable department.

  • Maintain vendor database, setting up supplier accounts and bank details
  • Validate invoices in OCR, scanning system
  • Input supplier invoices to Accounts Payable System (Core Financial), matching technical invoices to PO’s and ensuring they are coded correctly
  • Update the Accounts Payables systems once invoices are paid
  • Manage the Accounts payable mailbox
  • Ensure all invoices are billed correctly, validated, approved, and paid in appropriate timeframes
  • Interact with suppliers and internal queries to ensure all queries and discrepancies are resolved timely
  • Reconcile supplier statements and ledger accounts
  • Work closely with the team lead to continuously improve processes and procedures in Accounts Payable

Requirements of the Accounts Payable Administrator Job:

The ideal candidate for the Accounts Payable Administrator position brings a strong academic background in Accounting or Finance along with relevant Accounts Payable experience. While experience in the aircraft leasing industry is advantageous, it is not essential. You possess excellent communication skills that enable you to interact effectively both internally and externally. Familiarity with accounting software such as Core Financial (WMS) is preferred. As a self-starter with strong organisational abilities, you demonstrate professionalism, reliability, enthusiasm, and meticulous attention to detail. Your ability to build strong relationships will be key to your success in this role.

  • Bachelor’s Degree or equivalent in Accounting, Finance or related discipline
  • Previous Accounts Payable experience (aircraft leasing industry would be an advantage but not essential)
  • Excellent communication skills – internal and external
  • Familiarity with Accounting Software. Core Financial (WMS) preferred, however, not required
  • Strong organisational ability and a self-starter
  • Excellent attention to detail, professional attitude, reliable and enthusiastic
  • Strong relationship building skills
